In the meantime, we have some exciting updates for you. Without further due, these are:

Improved sidebar options

As previously available, you can collapse the sidebar quickly to get more room for your emails. However, we now extended it so that when you hover over the collapse icon or move your mouse into the left upper corner, it will show your mail folders and labels within a floating side panel. Oh, and while we were at it, we added the option to collapse the whole label section.

We used to have a similar concept in our previous design iterations but improved it for the new design (if you are using the "older design," you can check out the new one by signing into https://3.helpmonks.com and start using it).

I'm sure many of you with a smaller screen resolution will find this helpful as you now have more room for your email messages.

Speaking of smaller screen resolutions, we also made changes to the font sizes and heights of the main navigation, headers, and other sections if you browse your team emails with a screen resolution of 1400 pixels and below.

Improved dark theme

Our new design also features a gorgeous dark theme. While the dark theme was always available, some sections didn't look right, e.g., composing a new message showed it a glaring white, and some of the drop-down options didn't display correctly.

Of course, that didn't compel you to continue using the dark theme if some of the core components burned your eyes out, and it also didn't live up to our standard. That said, I'm happy to report that all elements of Helpmonks support the dark theme 100% now.

Enhanced log view

One of our customers reached out last week stating that she likes the new log view; however, she would like to see every interaction, not just core actions.

We thought this made complete sense, and it is also an excellent idea to see everything at once (no idea what we thought when we did the first iteration).

With that, we present the new log view that shows now every interaction of the whole email thread.

The little things all over

As we are working daily with and on Helpmonks (yes, we use the same system as you), we naturally have a very active feedback panel (please feel free to send us your requests or comments).

We do numerous minor enhancements during a week or month, and it's not out of the ordinary that we have over a hundred feedback posts resolved in a month. Listing all of them here is out of scope. Thus here are some of the highlights of the past weeks.

Speed

Our investment of the recent six months has come into action as we deployed a bunch of brand new caching technologies. The new architecture manifests in the form of looking up contacts which used to take, in worst cases, a couple of seconds to now a few milliseconds. Furthermore, browsing within Helpmonks is faster with all kinds of nifty tricks. Yep, Magic!

SLA customer highlights

We gave all those customers of yours that are your VIPs a nice shiny medal icon—no more excuses for you to skip that SLA.

A new color picker

Instead of the browser's default color picker (some of them are pretty ugly), we added a new one that conforms throughout the system.

Direct link to the chat

Surprisingly, one of our favorite features didn't make it into the new design. Shame on us, but now we are guilt free as you got the "link to the chat" back for any incoming chat transcript.

Fixed: Email campaign content

We made many improvements to our email campaigns over the last few weeks. However, we embarrassingly also introduced a bug that prevented the saving of any changed content from within the email campaign. Ouch! Though after the beating, we got it fixed.

Fixed: Inline images removed or not?

Another fix in the embarrassment category (some more beating commenced) was that we did not remove an image from the message when you copied and pasted it directly into the message editor.

What's next?

Our SMS and WhatsApp integration is almost ready for prime time. Our knowledge base is also prepared, and we plan to reach out to some of you to get started (let us know if you are interested in this so we can connect). Also, within the next two months, you will find the new file browser to be available.

Filter email list by a mailbox

You can now filter your emails in any list by your mailboxes. This is especially handy if you want to stay in a unified folder, but quickly want to see emails for a specific mailbox. You will find the mailbox filter in the top section of your messages.

Landing pages are here

Have you ever wanted to create a quick page to collect responses from a form or have a page so your customers can subscribe to your newsletters? If so, you will love the new landing page feature right within Helpmonks.

New

• We’ve updated the screen for adding a new user. You can now add the password at the dame time (we add a random one by default). Also, we enhanced some behind-the-scenes triggers when adding a new user. Here is how this looks now:

  

• While we think our shortcuts are a great way to quickly navigate within Helpmonks and take action on messages, we fulfilled a customer request to have an option to disable all shortcuts. Hence, you will find a new option within your user profile settings to disable shortcuts.

• We’ve fixed an issue that didn’t update an existing user setting properly

• We’ve fixed an issue with attachments upon forwarding a message

• We’ve fixed an issue with adding new attachments upon forwarding a message

• We’ve fixed an issue with the shortcut for forwarding a message triggering multiple times

• We’ve fixed an issue with scheduling a reply with a custom date

• We’ve fixed an issue with drafts showing up again, despite the message already being sent

• We’ve added now a new option to always share your drafts with your team by default.

• We’ve added some new text and background colors to the editor.

Improved

• We checked the counts further and made some more improvements to make them work better and faster.

• Drafts are now showing the last modified date instead of the date the draft was first saved.

• There is now an option to empty the trash when you select all emails in the trash.

• The file section shows the “Download all” button properly.

• Contrast: We’ve enhanced the contrast for all fonts. Especially, the gray has been made darker.

Fixes

• The spellchecker threw an error about undefined languages. As this was a change with the third-party library we now adjusted our code to always work independently of their changes.

Besides, we now fixed the split panel view to resize the message correctly, so you can finally use it as intended.

• When you select emails and apply labels the selection of emails will now stay (instead of de-selecting all emails)

• We changed the dates for the email listing pages from, e.g., "3 days ago” to “May 1st”. Conversations of “today” will show the time only. Conversations from the past years will include the year.

• Live-Chat: Will now show the correct bot avatar.

• Reports: The export includes the mailbox name again.

• Many more small enhancements and UI fixes.

• A new mailbox overview (see our dedicated post on this).

• Split view fixed (see our dedicated post on this).

• Resizing of the interface is now more reliable and we removed the white space at the bottom that was created dynamically.

• We improved the loading of emails from a company in the side panel manifold.

• Desktop notifications work now properly for mentions and when emails are assigned.

• All GoToActions (go to after delete, to go when replied, etc.) work now properly.

• Upon sending a collision email, it looked like it added an attachment. This is now fixed, too.

• Using Shift+Enter to send the message or note, did not always work due to wring variable value.

• We updated and improved a lot of fonts all over the system.

First off, we’ve fixed the split panel for v3. Somehow this got all messed up with a recent update. Now it works as expected again and you will be able to resize it properly so that also the emails show properly. There are still things to work on in that view but that was a big UI issue.

Secondly, before the migration we announced plans to move our SMTP service. However, we noticed that some of you have issues with it. Hence, we recently migrated to new SMTP servers (our own) and made changes to our DNS. We also create DKIM automatically for you. This should also work for SPF. Though, we highly recommend to set SPF DNS records.

The SMTP change also had effect on our marketing platform and we just released an update whereby you can use any of your mailbox email addresses for your email marketing campaigns. Additionally, you can verify another email address as well. If you plan on sending out email campaigns we cannot recommend a proper DNS setup enough (please contact us if you have any questions).

Lastly, we also fixed some bugs. For instance, sending out scheduled email campaigns and more.

How do you know if the email address is valid or the SMTP servers are still functioning?

That’s where email validation services come in. However, instead of just giving you the option to add one and pay (a lot for validating your email addresses) we partnered with a service and are offering email validation free of charge for your distribution lists.

Once done, select the email for your campaign (you can also use the same email address for drip campaigns) and send your email marketing messages. Easy as that :)

Updated pagination

The biggest change in the latest update is that the pagination is now at the top of your conversations. In the extended view, you will also get the page you are on and can switch to any other page. With a preview, screen enabled you will see a minimized version of the same.

There are many other enhancements and fixes that have been updated with the latest release that many of you reported.

That said, we are well on our way to a final release in a few days :)

If you “star a mailbox”, you will see additional information, and can also quickly add a folder to your favorites. If you rather like the “classic” way of working with your emails, you can just load your messages with one click.

Clicking on any mailbox or folder will show all the folders of the mailbox on the left side. Previously, we had the selection of the mailbox in the left sidebar, but as that was limited, the new mailbox overview replaces that option.

However, instead of just adding a new coat (design), we also changed how you interact with them. Instead of showing extensions in a sometimes cramped sidebar, we gave the extensions a new home, if applicable, in a slide-out drawer.

The new slide-out drawer provides more options to display your data or perform specific actions. The drawer is especially helpful when using the custom fields or Trello extension. Here how this looks:

Extensions can be accessed from within the new global menu / app switcher. Either click on the Helpmonks icon in the left corner or use the shortcut “g g” (hitting “g” two times).

As we made all our extensions available to every plan, we encourage you to test out the latest additions to our extensions.

That said, the new Notification Center has been enhanced to include all activities of all the conversations in your team collaboration platform. Not only that, but we also added separate sections for “Mentions,” “Chats,” and “Assigned” (conversations assigned to you).

Lastly, we added a new section called “Following,” where you will find all activities on a conversation that you follow, i.e., any conversation you add to your Bookmarks will automatically be tracked.

A screenshot doesn’t do it justice, but here is how it looks. You can access the Notification Center by clicking on the “bells” icon in the top navigation bar.

Live Chat, Email Campaigns, and Email Drip Campaigns

All marketing options are now available and fully functional in the new design. We invite all users to start using the new UI.

Reminders

While most of the work we are doing are re-designs of existing options, we also started adding a lot of new variations or enhancements to existing ones. One of those enhancements is that we now added a convenient hourly option for reminders. Here is how this looks.

That said, we re-factored how we load the emails in your folders. However, it’s 135% faster to load emails and adds a convenient option for you to sort your emails in multiple ways.

We also now have the advanced search options back as with the current design. You can access the advanced search options from within the global search (click on the magnifying glass icon or use CTRL+/ or CMD+/). The advanced search options are also enabled to click on “show more search results.” You can also bring up the advanced search with the ALT+/ shortcut.

Besides, composing a new email will show additional writing information in the right-side panel. Furthermore, we fixed or enhanced many parts all over Helpmonks based on feedback from our users.

Last but not least, make sure to check out all the new features we’ve added to FLOW in this release. Primarily, the ultimate time-saver, reply and add a note right next to your message(s).

If you haven’t checked out the new Helpmonks re-design, we urge you to do so now. Many top-requested features from customers like you have been added. In addition, we’ve incorporated several; time-saving options and especially brought everything you need to work faster and better with your team emails within one click away.

That said, we now added the option to reply to your messages and directly add a note directly in Flow! Check it out below:

This and all the rest of the Helpmonks 3.0 new features are ready for you to test and enjoy.

With this change, all team members start working on the new design, accessing all the latest features, while others might choose to continue using the current design until ready.

In addition, we’ve completely re-designed the listing pages with new colors, adjusted the split screens some more, made changes to the font sizes, and also added the option to collapse the sidebar.

This means fast login, faster page switching (not that this is a big issue with Helpmonks 3.0, and faster loading overall for everyone.

Besides, real-time updates within the email list should now work properly, e.g., when an email comes in, gets assigned, changes the status, and so forth. You should now magically see it come in or being removed with updated counts.

Apart from that, your mailbox selection will now be remembered upon refresh. Additionally, we crushed some pesky bugs that prevented you from assigning emails to others or not being able to reply and assign to someone (except yourself).

As always, any feedback is welcomed.

Now, based on our feedback so far, we did not hit the mark with the concept mentioned above in Helpmonks 3.0.

Hence we went back to the drawing board and came up with a new solution that we think works better. That said, here is how it looks now.

For a new message

Just as before, you will find the “Compose” button in the upper right corner. However, instead of a small floating editor, you will now get this:

As you can see, creating a new message currently gives you an excellent extensive editor and provides some more information once you start typing. Another benefit is also how fast this is :)

For replies and notes

We also overhauled the message detail section, added the same floating toolbar from the email list, and added the option to reply and create a note. Again, this action and behavior are now the same everywhere. Have a look:

These are just some of the changes from the last few days. Stay tuned for some more on the road to the new Helpmonks 3.0.

• Spellchecker: We've added five more languages, among them Turkish, Ukrainian, and Australian English. Let us know if you don't see your language so we can add them.

• We've made some significant changes to the way we encrypt passwords to make them even more secure.

• We've enhanced our collision detection engine to ignore auto-responder emails.

Improved:

• We've updated to the latest library of our PDF viewer and are happy to report that it will show now even the most complicated PDFs in your browser (including pesky mobile browsers).

• We've now changed updating the user's password or for the user himself by first having to click a button to reset it. This prevents accidentally overwriting the password.

Fixed:

• We've fixed an issue adding a note to a conversation when the sender is marked as spam.

• We've fixed an issue with not displaying the correct records on the account-wide spam list.

Please note that this only takes effect for new emails that have arrived after Nov. 24th midnight EST.

As you might know, you can use the reply-to in your email client to advise the recipient that any responses should go to your reply-to email address.

Helpmonks has always respected the reply-to header, but we've made now the following changes:

1. Suppose the reply-to email address is the same as the email address of your mailbox in Helpmonks. In that case, we discharge the reply-to address and replace it with the sender's email address.
   

2. Unfortunately, the reply-to is often misused (see below). Hence, we are now detecting this and set the reply-to email address to the sender's email address.

By default, we only send the auto-reply / saved-reply to the same email address once every 24 hours. While sufficient, there might be scenarios you want to send a message each time, no matter if the message has already been sent, e.g. order confirmations, etc.

The new setting can be found in your mailbox setting and within the workflow.

• We've changed some modal windows to not close automatically anymore when hitting the escape key or clicking on the background.

• Saved replies can now contain embedded content, e.g., YouTube iframe, etc.

• Customer Satisfaction: All ratings and comments show now as a note within your email thread

Fixed:

• We've fixed an issue with sending a saved reply with attachments from a workflow.

• We've fixed an issue with sending a saved reply that would contain an embedded iframe.

• Customer Satisfaction: We've fixed an issue with adding the survey to a reply.

• Live Chat: There was an issue with not being able to continue to chat when no agent joined the chat.

• DNS error message: Due to an error with a core library you received a message your DNS server is not properly configured. We've changed the library now until they release a fix, i.e., all is working :)

• The SpellChecker (a 3rd-party module) turned on auto-correction without notifying us about it. Hence, some of your words got automatically converted. While there is an option to accept the word as written, we've now added an option for you to turn auto-correction off.

• We've made a small improvement to our editor to better handle notes with mentions.

• There was an issue with our approval process that has been fixed now.

In addition to creating embedded and pop-up forms, you can now also share your form publicly directly from us! Simply copy and paste your unique Form URL and share it.

We've added an option to automatically add contacts to your distribution list when you import from a CSV file or copy & paste email addresses.

Improved

• Searching for contacts is now faster with this update.

• Email Campaigns: If you use Sendgrid as an SMTP service we make sure to only use the verified domain for sending.

• SMTP Settings: There is now an option to reset (start from new) your Sendgrid domain verification.

The new editor allows for a much smoother editing experience and it tailored towards email templates. We've also updated many of our templates and added new ones.

You can now keep your distribution lists automatically updated with customers that have a label or belong to a company. This works, as when you add a label to a customer, the email address automatically gets added to the distribution list(s). Subsequently, when you remove the label, the email address gets removed.

This works everywhere, within Helpmonks and also when you use the API for adding or removing labels from a customer.

• Distribution lists: We've now added a link to the customer in the list

• Drip Campaigns: We are now showing the Trigger for the campaign in the overview already

• Drip Campaigns: We've fixed an issue with adding new customer records to a campaign when "add by labels" is selected

We've also added tagging new contacts with labels. Furthermore, forms can also be sent by email to your Helpmonks mailbox. Moreover, you can create as many forms as you require.

• When you filter the contacts by a label you can now choose "select all" and it will only select the ones with the filter. We are also showing how many users there are in the selected labels.

• We've also updated all "actions" (add a label, add to the campaign, etc.) to work with the "all" users when using a label filter

• An attachment could have gotten removed accidentally if you had the IMAP sync turned on.

• Engage Email Campaigns: We've fixed an issue with using variables within your email campaigns.

• Saved Replies: We've fixed an issue where the attachments from the saved reply were not added to the message.

• Group drafts: There was an issue with redirecting the user to the mailbox draft. This also caused some confusion with counts and the context. Something that will be prevented in our new design as well. For now, the issue is resolved.

• We've upgraded the ServiceWorker library which fixes a small bug with some operations (benign issues that weren't affecting anyone). Behind the scene stuff :)

• Engage Chat: Attachments were only stored in temporary space but not in the primary location

• We've fixed an issue with not showing the proper sender when the email list got updated automatically and also made sure that we don't cache too much.

• We've fixed an issue with not showing the proper SMTP server in the frontend when your custom SMTP server setting was reset (because there was an error sending).

• We've fixed an issue that seldomly happened when there was an attachment with having the IMAP sync enabled.

• We've enhanced the parser to parse "addresses" properly that would contain invalid HTML (not exactly a fix and more an enhancement)

• You can now double click on a message to open the conversation in a new browser window

• Workflow: We've added the option to check for the CC in the email

We've also made it so that when you use our website at https://helpmonks.com to sign in to your Helpmonks account you will be remembered and can just click the "Sign in" button again to go directly to your account again.

• Engage Sendgrid servers domain change! Instead of "engage.yourdomain", you have to use "e.yourdomain.com" now.

• The editor will now accept pasted content from Word automatically

• Added background color to emails when user right-clicks. Color will stay for 20 seconds after the content menu is closed. This should help with seeing what email was selected when you have a long list of emails.

• We've improved the parsing of some emails that contained a lot of hidden [if mso] tags. 99.9% of the time, they display properly within Helpmonks and it only became apparent when the email was forwarded and the end-user used Outlook.

There was a stupid bug with not showing your signature for your mailboxes within your profile. We apologize for that.

• If there are no labels within a mailbox, we now automatically hide the "add a label" and "move to label folder" buttons, too.

• We are now pre-filling the values of selected mailboxes, statuses, etc. of a previous search into the advanced search.

The new distribution section is about to be pushed to our servers now.

With it, you now have the option to use our new SMTP servers powered by Sendgrid for every account and plan. Go to your mailbox SMTP settings and switch to benefit from one of the best delivery service in the business.

While adding this new SMTP option we've overhauled the whole SMTP section. Also, you can now copy your SMTP setting to other mailboxes.

Additionally, we've updated all the delivery log entries to provide more information. Like this, you can see in one go if your message got successfully delivered or if something went amiss.
